NOTICE
CIRCULAR TO ALL THE CUSTOMERS AND SUPPLIERS
Starting from 1st January 2022 in the United Kingdom, complete import declarations will be required for all goods that will travel from the European Union to this destination.
On the same date, physical checks on goods in transit through UK border crossings will also begin.
All goods, before leaving, must be cleared for import into the United Kingdom and a copy of the C88 / ENR document must be received by Fresh Ways. To do this, it will be necessary to provide a copy of the invoice, packing list, free export and all the necessary export documentation to both Fresh Ways and the importer (or directly to his English customs agent).
We summarize the new procedure below in steps:
STEP 1 (EXPORTER):
Before the goods are shipped, the exporter must send (in the times and methods that will be described below) both Fresh Ways and the importer (and/or his customs agent) the following documentation:
Sales invoice. Please make sure that the invoice contains the following information:

Before the goods are shipped, the exporter must send (in the times and methods that will be described below) both Fresh Ways and the importer (and/or his customs agent) the following documentation:
Sales invoice. Please make sure that the invoice contains the following information:
- Incoterms: EXW (Ex-Works) or FCA (Free Carrier) or DAP (Delivered at Place) or DDP (Delivered Duty Paid)
- Company name and full address of the English importer including VAT number, EORI number and telephone number.
- The current declaration of preferential origin of the goods will be valid until 31st December 2021. Starting from 1st January 2022, in order to demonstrate the preferential origin of the goods transported, and therefore the exemption from duties in the United Kingdom, the exporter must be registered with the REX. The REX registration number and date must be clearly written on the sales invoice. To register for REX, please contact your territorially competent customs office
- Currency and value of the goods (even free samples must have their own sales invoice even if with a symbolic value)
Packing list. Model downloadable from the https://www.freshways.it/resources/packing-list.XLSX The file must be completed in all its parts and must be sent in Excel format (not PDF, JPG or other formats). Each cell must have an absolute value and formulas cannot be entered.
Free export. Model downloadable from https://www.freshways.it/resources/libera-esportazione.doc to be filled in, stamped and signed on headed paper.
EAD (required only in the case of alcohol exports) in the name of the Italian customs agent who will take care of the export customs documentation. In the event that it is Fresh Ways (through its customs agent) to issue the customs documentation, please contact us so that we can provide you with instructions on how to complete it.
Fishing and/or catch certificates: only if the type of goods shipped requires these certificates
Agecontrol: Only if the type of goods shipped requires this certificate
National Rice Authority: certificate required for the export of raw rice regardless of the quantity shipped.
Vet certificate: required for goods of animal origin (POAO) or animal by-products (ABP). The original copy of the certificate must travel with the goods. This certificate will only be required from July 2022.
Phytosanitary Certificate: Required for goods of vegetable origin (fruit, vegetables, plants…). The original copy of the certificate must travel with the goods. This certificate will only be required from July 2022.
Each document must be scanned individually and sent in the times and methods that will be described below. Scans containing documents of different types will not be accepted.
We remind all exporters that the information indicated in the packing list must coincide with what is indicated on the invoice. We suggest, before sending the documentation, to check the accuracy of the data indicated.
STEP 2 (IMPORTER):
In the case of goods of animal origin (POAO) or Animal By-Products goods (ABP), the importer must (always through his customs agent) notify the IPAFFS (Import of Product, Animals, Food and Feed System) relating to the arrival of this type of goods.
Once the importer has received the documentation from the sender, he will (through his customs agent) issue the complete import customs declaration (document C88).
This document must be sent urgently to Fresh Ways together with any IPAFFS advise in the times and methods that will be described below.
An alternative to this import declaration is the notice that the importer (through his customs agent) can make to the CHIEF (Custom Handling of Import and Export Freight) system. In this case, before the departure of the goods, in the manner and timing described below, the ERN (Entry Reference Number) consisting of:
Free export. Model downloadable from https://www.freshways.it/resources/libera-esportazione.doc to be filled in, stamped and signed on headed paper.

- ENO (Entry Number) which consists of 6 numbers + one letter

CAUTION: failure to send the C88/ENR document to Fresh Ways will prevent the departure of the goods from Italy even in the presence of export customs declaration. This is a prerequisite required by English customs.
We remind you that importers who do not have a Deferment Account with HMRC will have to pay, at the time of the import declaration, any import duties and VAT (if applicable) unless their customs agent pays the amounts in advance. to advance these amounts. We therefore recommend you contact him to make sure there are no hitches with the issue of the import customs declaration.

STEP 3 THE FORWARDER (FRESH WAYS)
Fresh Ways Srl, as freight forwarder, will continue to deal with the issue of the French Enveloppe by communicating all export customs declarations to the French customs in order to be able to make a massive closure of all customs bills at the time of exit from the territory of the European Union.
In addition, starting from 1st January 2022, we will register each departing truck through the English system GVMS (Goods Vehicle Movement System) for which import customs declarations made by importers (C88 or the ENR) will be needed. The lack of these ones will prevent the departure of the goods.
TIMING
A. Departure from Burago di Molgora on Tuesdays:
We remind you that importers who do not have a Deferment Account with HMRC will have to pay, at the time of the import declaration, any import duties and VAT (if applicable) unless their customs agent pays the amounts in advance. to advance these amounts. We therefore recommend you contact him to make sure there are no hitches with the issue of the import customs declaration.
In the event that the importer, for import customs clearance, uses the EIDR (Entry In Declarants Records) system, Fresh Ways must be promptly notified via email (customs@freshways.it) specifying the importer's Company name and its EORI number.

- Reservation of the shipment: it must be made to Fresh Ways no later than 12:00 on the Friday of the week before the dispatch.
- Sending documentation for export customs: (according to what we will communicate to you) please send no later than 08:00 AM on Monday, all the documentation (invoice, packing list, free export ...) to both the English importer (and/or its customs agent) and Fresh Ways Srl regardless of who is responsible for issuing the export customs papers. If it is the exporter who does export customs clearance, this must be sent together with the above documentation.
- Delivery of goods to Fresh Ways: the goods must be delivered to Fresh Ways Srl no later than 10:00 AM on Monday. If Fresh Ways carries out the collection from the exporter, please contact us in order to organize the collection and ensure that the goods arrive on time at our warehouse.
- Sending issued import customs documentation: the importer or the customer of the shipment must send to Fresh Ways a copy of the import customs clearance (C88 or ENR) made in the UK together with a copy of the declaration made to IPAFFS (only for goods of animal origin and animal by-products). This has to be done no later than 10:00 AM on Monday according to what we will communicate to you.
B. Departure from Burago di Molgora on Friday:
- Reservation of the shipment: must be made to Fresh Ways no later than 10:00 am on the Wednesday before the dispatch.
- Sending documentation for export customs: (according to what we will communicate to you) please send no later than 10:00 AM on Wednesday, all the documentation (invoice, packing list, free export ...) to both the English importer (and/or its customs agent) and Fresh Ways Srl regardless of who is responsible for issuing the export customs papers. If it is the exporter who does export customs clearance, this must be sent with the above documentation.
- Delivery of goods to Fresh Ways: the goods must be delivered to Fresh Ways Srl no later than 10:00 AM on Thursday. If Fresh Ways carries out the collection from the exporter, please contact us in order to organize the collection and ensure that the goods arrive on time at our warehouse.
- Sending issued import customs documentation: the importer or the customer of the shipment must send to Fresh Ways a copy of the import customs clearance (C88 or ENR) made in the UK together with a copy of the declaration made to IPAFFS (only for goods of animal origin and animal by-products). This has to be done no later than 10:00 AM on Thursday according to what we will communicate to you.
In order to facilitate the sending of all documentation and avoid that some documents may be lost, Fresh Ways is implementing a new IT system that will allow the uploading of the documentation directly into our IT system by both the importer and exporter.
Fresh Ways will send the user manual of the new system by 17/12/2021.
